Field service software
The job is agreed at a desk. The work happens somewhere else. Between those two places the record usually thins out. The person doing the work has a time, an address and a rough sense of the scope. The rest is in an email they cannot open, a spreadsheet that stayed in the office, or a pad that comes back on Friday, if it comes back.
What both sides need is the same job. Who is going, what they were asked to do, what they actually did, and what the customer accepted. If that is written down twice, someone spends the evening making the two copies agree.
What falls out between the office and the job
- The scope changed after the person left. They are working to yesterday's note.
- Photos stay on a personal phone, with no job number on them.
- The customer signed a pad. The office types it up later, and the typed copy and the signed copy become two records.
- A question on Tuesday cannot be answered until the van is back.
- Parts used on site never reach the job, so the invoice is a guess.
The work was done. The record of it is split across a van, a phone and a desk. That is how a variation disappears.
What the person on the job should have
They need the job itself: the customer, the site, what was agreed, and anything that has changed since. They need a sheet they can finish where the work is, not three days later. What that sheet should hold, including the photos and the signature, is set out in digital job sheets and customer sign-off.
They also need the papers for that job. A method statement left in a folder at the office is not with them. How those documents stay with the job, and who has acknowledged them, is covered in RAMS software.
- The same job the office is looking at, not a copy pasted into a message that morning.
- The sheet, the photos and the sign-off stored on that job the same day.
- A note if nobody was there to sign, with the time, rather than an empty box.
- A way to find it later from the customer or the job number, without ringing the person who went.
The day those jobs are booked is covered in job scheduling software. How the job was raised in the first place is covered in job management software. Parts bought for it are covered in purchase order software.
What to look for
You are closing the gap between the desk and the job, not buying a second diary.
- One job, seen in the office and by the person doing the work.
- The sheet finished on site, with photos and a sign-off, kept on that job.
- Documents for the job available to the person who needs them.
- A record you can open months later without the original pad or the original phone.
How Atlas OS® helps
Atlas OS® is a complete business operating system for any business, anywhere, in any sector. The operating system behind your business. It is in development. You cannot switch it on as a finished product today.
Work planned at a desk reaches the person doing it in Atlas Field. A job on the shared plan is the same job on their list. Documents can be attached to the job or site, and the team sees them on the job. For RAMS, staff acknowledge them in the field app, and Atlas records who acknowledged each version and when. This page is about that record. It is not a catalogue of buttons already switched on.
Run it. Connect it. Control it. Prove it.
Common questions
What should field service software keep on the job?
The customer, the site, what was agreed, what was actually done, the photos, and the sign-off or a note that nobody was there to sign. The office and the person doing the work should be looking at that same job.
Why do paper pads and Friday typing fail?
The signed copy stays in the van. The typed copy is done later, from memory or from handwriting, and the two drift. Photos stay on a personal phone. A question from the customer waits until someone is back at the desk.
What should the person on the job be able to finish there?
The sheet for that visit: what they found, what they did, what is left, and whether the customer accepted it. If they still write it up days later, you have moved the pad onto a screen.
How does Atlas OS carry the job to the person doing it?
Work planned at a desk reaches them in Atlas Field. A job on the shared plan is the same job on their list. Documents can be attached to the job or site, and the team sees them on the job. Atlas OS is in development.
