Fleet MOT, service and insurance reminders

A vehicle is off the road for a boring reason more often than a dramatic one. The MOT ran out last week. The service was due at a mileage you passed on Tuesday. The insurance renewal was an email nobody opened. The person who knows the vans is on leave, and the dates are in a spreadsheet named after them.

You do not need a large fleet for this to hurt. A handful of vans is enough. Each one has a registration, someone who is supposed to book it, and dates that matter: the MOT where the vehicle needs one, the next service, and the insurance renewal.

What a missed date costs

What to record for each vehicle

  1. Registration, what it is, and who books the dates.
  2. MOT expiry, where an MOT applies. Service due by date or by mileage. Insurance renewal.
  3. A status you can read without opening the document: current, due soon, or expired.
  4. The certificate or the schedule, on that vehicle, not in a drawer.

Due soon is the useful status. Once the date has passed, the easy booking has gone. A list of what falls due this month is enough. Open it when you plan the week, not only when a van fails to start the day. Those jobs are booked in job scheduling software. The people who drive them, and the tickets they hold, are covered in training records.

What to look for

How Atlas OS® helps

Atlas OS® is a complete business operating system for any business, anywhere, in any sector. The operating system behind your business. It is in development. You cannot switch it on as a finished product today.

A vehicle date should be as visible as a training expiry: current, due soon, or expired, in time to do something about it. Training records in Atlas OS® already store expiry dates that way. Fleet dates belong in the same habit. Atlas OS® is in development, so this page describes the record. It is not a switch you can throw today.

Run it. Connect it. Control it. Prove it.

Common questions

Which vehicle dates are worth tracking?

MOT expiry where the vehicle needs an MOT, the next service by date or mileage, and the insurance renewal. Those are the dates that take a vehicle off the road if nobody books them.

Why do vehicle spreadsheets fail?

One person keeps them. The dates are typed as text, so nothing warns you next week. The certificate is in a glovebox or an inbox, not on the vehicle. You find out on the morning the van cannot be used.

How early should a reminder be?

Early enough to book, not on the morning it runs out. A status of current, due soon or expired is enough. A score is not.

Does Atlas OS send fleet reminders today?

No. Atlas OS is in development. A vehicle date should be as visible as any other expiry you rely on, in time to book. This page describes that record. It is not a switch you can throw today.
