RAMS software: stop chasing paperwork
You know the drill. A client wants the method statement before the work can start. Someone asks for training records. Someone else needs proof the team has read the latest version. And the paperwork is spread across a shared drive, an email thread, a ring binder and a folder in the van.
None of it is hard. It just takes time, and that time comes out of the work that actually pays.
Why spreadsheets and folders stop working
Most businesses start with Word templates and a folder per job. That works until:
- the same RAMS gets copied and edited for every job, and nobody is sure which version is current
- training certificates expire without anyone noticing
- sign-offs are on paper, so proving who read what, or what the customer accepted on the day, means digging through boxes. Digital job sheets are the other half of that record
- the one person who "knows where everything is" is on holiday
The risk isn't only wasted hours. Out-of-date documents and missing records are exactly what gets picked up when something goes wrong.
Training dates are the usual casualty. A card expires, the spreadsheet still says it is fine, and you find out when the work is about to start. Keeping licences, tickets and certifications in one place is covered in training records and a competence matrix.
What to look for in RAMS software
Good software should:
- Keep documents with the work. RAMS and other documents should be attached to the job or site they cover, not sit loose in a folder.
- Show training status clearly. You should be able to see whose certificates are current, due soon or expired.
- Record who has read what. When you issue a RAMS, you need a record of who acknowledged it and when, for each version.
- Be quick to find. When a client asks, you should be able to show it in minutes, not hours.
- Fit how you already work. Safety shouldn't be a separate app nobody opens. It should sit alongside jobs, planning and your team.
RAMS only help if they sit on the job they belong to. If the job itself is still a row on a spreadsheet, start with job management software.

Can I keep RAMS and training records with each job?
Yes. You can attach RAMS and other documents to the job or site they cover, and your team sees them on the job. Training records store expiry dates and show each one as current, due soon, expired or not recorded.
How does Atlas OS record RAMS sign-offs?
Publish RAMS to the Atlas field app and staff acknowledge them there. Atlas records who acknowledged each version and when.
How is Atlas OS different from spreadsheets and paper?
Word templates and a folder per job make it hard to know which RAMS version is current, let training certificates expire unnoticed, and leave sign-offs on paper. Atlas OS keeps documents with the job, records who acknowledged each version, and shows whether training is current, due soon, expired or not recorded.
